Refund Policy

1. Overview
This Refund Policy applies to payments made through RentKeyz, operated by City Center Rentals LLC and McCoy Real Estate LLC. We strive to handle all refund requests fairly and in accordance with applicable laws.
2. Rent Payments
General Policy: Rent payments are generally non-refundable once processed, as these payments are immediately transferred to property owners/managers.
Overpayments: If you accidentally overpay rent, please contact your property manager immediately. Overpayments will be applied as a credit to your next month's rent or refunded at the discretion of your property manager.
Duplicate Payments: If a duplicate payment is made in error, we will work with you and your property manager to issue a refund within 5-10 business days.
3. Security Deposits
Security deposits are held according to your lease agreement and applicable state/local laws.
- Deposits are refundable at the end of your lease, minus any deductions for damages or unpaid rent
- In Washington State, landlords must return deposits within 21 days of move-out
- Any deductions will be itemized in writing
- Disputes should be directed to your property manager first
4. Application Fees
Non-Refundable: Rental application fees are non-refundable once the screening process has begun, as these fees cover third-party background check and credit report costs.
Exception: If an application fee is charged but no screening is conducted due to our error, a full refund will be issued.
5. Move-In Fees
Move-in fees and holding deposits are subject to the terms outlined in your lease or rental agreement. Please review your specific agreement for refund terms.
6. Processing Fees
Payment processing fees (credit card fees, ACH fees) are non-refundable as these are charged by third-party payment processors.
7. How to Request a Refund
To request a refund:
- Contact your property manager first for lease-related payments
- For platform issues, email support@rentkeyz.com with:
- Your name and contact information
- Property address
- Payment date and amount
- Reason for refund request
- Include any supporting documentation
8. Refund Processing Time
Approved refunds are typically processed within:
- Credit/Debit Cards: 5-10 business days
- ACH Bank Transfers: 5-10 business days
Refunds will be issued to the original payment method used.
9. Chargebacks
We encourage you to contact us directly before initiating a chargeback with your bank or credit card company. Chargebacks may result in additional fees and could affect your tenant account status.
10. Disputes
If you disagree with a refund decision:
- Contact your property manager to discuss the issue
- Email support@rentkeyz.com for platform-related disputes
- Provide documentation supporting your claim
